Before the Conference
Moderators Should:

Check the FWEA website to make sure there have not been any changes to the day or time of your session.

Arrange to bring a laptop to your session for use with the conference-provided projector and screen. It may be your laptop, or one of your presenters may volunteer theirs.

Contact all authors and presenters assigned to your session. Confirm that they are attending and prepared to present. Use this opportunity to provide instructions, coordinate arrangements, and clarify expectations.

Make whatever arrangements work best for you and your presenters to load copies of the final presentations onto the laptop. Because many presentations are not finalized until shortly before the session, Speakers may bring their presentation on a USB or thumb drive and meet with the Moderator before the session to transfer it to the laptop.

If a presenter’s biographical information has not already been provided, ask the presenter to send it to you.
At the Conference
Moderators Should:

Check the location and arrangement of your session room in advance.

Meet with the Speakers to load their presentations onto the laptop.

Arrive at your session room at least
15 minutes before the session begins. Set up the laptop, confirm that the equipment is working, meet the Speakers, and meet the Assistant Moderator, when applicable.

Start the session on time with a brief introduction of yourself.

Introduce each Speaker using the biographical information provided.

Speakers have been advised to limit their presentations to
20–23 minutes. This leaves
7–10 minutes for questions, Speaker transitions, room movement, and travel to other sessions.

Facilitate the question-and-answer period when the Speaker does not. Consider preparing a few questions in advance in case the audience is initially quiet.

Keep the session on schedule. This includes not running late and not getting ahead. If a Speaker finishes early or does not attend, wait until the designated start time for the next Speaker.

An Assistant Moderator may be assigned to your session. If so, they will assist with lighting, doors, attendance, and CEU/PDH documentation. Be prepared to enlist someone at the session or handle these needs yourself if no Assistant Moderator has been assigned.
